    Description

    Position Summary
    The Director of Advancement Services & Engagement is responsible for prospect identification, qualification, assignment, data management, and research and overall responsibility for the prospect management system. Utilizing a systems approach, this position is also charged with developing and managing an engagement/communication plan for CWC alumni, parents, and other critical friends of the College and in turn building out the annual giving fundraising efforts of the CWC Foundation. This position is a key partner in, and provides oversight of, the business operations of the Foundation, including marketing, gift processing, financial management, and stewardship of gifts.

    Essential Duties and Responsibilities
    Prospect Management & Research

    1. Employing creative thinking, provide research on individuals, corporations, and foundations using a wide variety of sources and tools, including subscription information services, online database services, websites, directories, library and government sources, and other internal and external repositories of information.
    2. Research, collect and organize all manner of information useful for grant applications and other proposals.
    3. Analyze and synthesize accumulated information to assess financial capacity, philanthropic tendencies, giving propensity, and linkages to the college. Keep abreast of college fundraising priorities and mine the prospect pool and broader communities (individuals, corporations, and Foundations) for potential matching philanthropic interest. Utilize relationship mapping, identify prospects with ties to key corporations, foundations, and each other.
    4. Compose profiles, biographies, etc. using style and content appropriate to the audience receiving the information. Interpret and translate complex financial, including SEC filings, legal and corporate language into easily comprehensible terms.
    5. Manage all prospect assignment activity; create, maintain, and document metrics and processes to analyze fundraising activity. Extract and communicate key information which directs cultivation and solicitation strategies and appropriately populate gift officer portfolios.
    6. Continuously review local and national news and business publications to keep abreast of economic and business trends that can impact fundraising success.

    Database Management 

    1. Serve as the database manager for third-party software (i.e. The Raiser’s Edge). Provide technical and strategic support for the daily use and operation of the database.
    2. Identify the nature and sources of data that need to be created, tracked, and maintained and design systems to collect, enter, and maintain data on an on-going basis. Utilize the services of outside vendors to enhance the data. Develop systems (i.e. queries, audit reports) to ensure the accuracy and completeness of the data. Identify, define and manage data clean-up projects. Supervise part-time workers in support of this work.
    3. Support all aspects of the Foundation’s grant work, including tracking grant applications, submissions, awards, etc.
    4. Monitor, analyze, and report on progress towards goals and other key indicator metrics. Develop reports for leadership, including the Executive Director, the Foundation Board, College leadership, and others with a need to know. Keep abreast of new products, resources, technologies, and methodologies to enhance the fundraising work.
    5. Work with Institutional Research to ensure the appropriate collection of alumni data. Safeguard the confidentiality of alumni and donor information at all times, exercise the utmost of discretion, and adhere to the ethical and confidentiality policies and guidelines of the Foundation, the College, and the Association of Professional Researchers for Advancement (APRA).

    Alumni, Parent, and Friend Relations

    1. Utilizing a systems approach, build and cultivate CWC alumni relationships to benefit the College, this may include a digital strategy, newsletters, and other forms of communication, events, volunteer opportunities, etc.
    2. Work with all parts of the College to grow opportunities for engagement and to promote a mutually supportive relationship between alumni, parents, friends, and all facets of the College.
    3. Engage with Alumni to feature their stories in publications, newsletters, etc.

    Annual Giving 

    1. Utilizing a systems approach, support the work of executing an annual giving strategy, including the creation, delivery, and tracking of appeals.
    2. Interpret results and utilize segmentation and management of groups of prospects identified through giving patterns and internal/external screening processes to enhance giving outcomes. Track milestone giving years and amounts and initiate proper recognition actions
    3. Take the lead on annual grant applications, support other grant activities.
    4. Business & Finance Operations
    5. Oversee the Foundation’s business and finance operations, including the annual audit. Ensure Foundation compliance with laws and regulations.
    6. Assist the Executive Director in the creation of the annual budget.
    7. Be familiar with financial software and general nonprofit accounting principles. Commit gifts, post to the general ledger and reconcile financial transactions. Ensure appropriate segregation of duties, conduct random internal audits on gift and other transactions. Provide backup for gift processing.
    8. Work with the Marketing Department to execute strategies for alumni, friend, and donor communications.

    1. Operate within the framework established by the Foundation’s and CWC’s policies, procedures, and practices.
    2. Perform other reasonably related duties as directed or assigned.

    Typical Qualifications

    Position Specifications Minimum Qualifications
    Education

    • Bachelor’s degree from a regionally accredited institution of higher learning recognized by the US Department of Education.

    Experience

    • Experience in research, fundraising, business or financial analysis, library reference work, industry research, social science research, investigative journalism, statistical research, or related field.

    Equivalency Statement 

    • Equivalent combinations of education and experience from which comparable knowledge and abilities can be acquired may be considered on a case-by-case basis.

    Knowledge, Skills, and Abilities 

    1. Strong computer skills and experience working with relational databases and the Microsoft Office suite of products, as well as an awareness of different information search techniques and understanding of Boolean logic.
    2. Proficiency in compiling data, creating reports, and presenting information, including expertise MS Excel.
    3. Demonstrated analytical skills to evaluate and organize information in order to identify patterns, tendencies, and relationships, as well as the ability to recall, recognize and communicate interrelated information.
    4. Excellent oral and written communication skills as well as interpersonal skills required to function effectively among fundraisers, high-level college administrators, and other constituencies.
    5. Ability to maintain confidentiality and work with sensitive information.
    6. Knowledge of commonly used research subscription information services such as LexisNexis, Foundation Directory, Hoovers, etc., and knowledge of public information databases and related search techniques for those resources preferred.
    7. Familiarity with and ability to analyze financial disclosure documents (SEC filings, real property files, financial and legal disclosures, etc.) preferred.
    8. Understanding of statistical and predictive modeling preferred.
    9. Knowledge of fundraising concepts, procedures, and practices.
    10. Ability to work independently and as part of a team.
    11. Must be detail-oriented, well organized, focused, goal-oriented, and adept at problem-solving and using judgment in situations requiring independent initiative and tact.
    12. Ability to take initiative to organize, prioritize, and complete work from multiple sources on a timely basis.
    13. Capacity to produce consistently accurate results.
    14. Knowledge of prospect research methods, including electronic and hard copy data sources.
    15. Ability to work with varied constituencies to meet their prospect identification, analysis and strategy needs.
    16. Ability to use a computer and professional office technology in a variety of applications.
    17. Preferred: Demonstrated knowledge of Wind River Indian Reservation culture and peoples, a significant part of CWC’s service area.

    Level of Supervision 

    • This position operates under the direct supervision of the Executive Director of the CWC Foundation.

    Environmental Conditions 

    • Work is generally performed in the office. Travel, weekend, and evening work will be required.
